Apostille Meaning and Process Explained – Complete Apostille FAQs Guide
What is the meaning of Apostille?
An Apostille Certificate is an internationally accepted authentication, recognised by all member countries of the Hague Convention of 1961. The term “Apostille,” derived from French, signifies certification. In India, the Ministry of External Affairs (MEA) is the designated authority responsible for legalising documents intended for use in Hague Convention member countries. This legalisation is done through a unique seal known as an Apostille. Essentially, an Apostille is a specialised certificate issued by the MEA, which is affixed to the original document to confirm its authenticity and validity. Currently, Apostilles are acknowledged by over 116 member nations, including the United States of America and several European countries, making it a widely trusted form of document verification.
The Ministry of External Affairs (MEA) is the exclusive authority in India authorised to issue Apostille stamps for Indian-issued certificates. Apostilled documents are valid only in countries that are members of the Hague Convention. The Hague Convention of 1961 simplified the process of international document authentication by eliminating the need for repeated legalisation of public documents by the governments of member nations.
Why Is Apostille Certification Required for Your Documents?
Apostille certification is required under the Hague Convention framework, which mandates that documents intended for use in member countries must bear an Apostille stamp. This process ensures the authenticity and credibility of certificates for purposes such as employment, education, business establishment, or export activities in Hague Convention member nations. Once an Apostille is affixed, the document is deemed valid, genuine, and officially recognised by the Ministry of External Affairs (MEA) as well as by all HCCH member countries. Importantly, an Apostille stamp eliminates the need for any further attestation from the respective embassies of these nations.
When Is Apostille Certification Necessary for Your Documents?
Whether for short-term visits or long-term relocation abroad—such as for employment, education, residency, or immigration—an Apostille is essential. In simple terms, an Apostille is an official legalisation process that authenticates your documents, ensuring they are recognised as valid and legitimate in the country where you intend to use them.
Key Situations Where Certificate Apostille Is Required.

In India, the Ministry of External Affairs (MEA) does not accept Apostille applications directly from individuals. Instead, your certificates must be submitted through the four authorised outsourced agencies. Since January 1, 2019, Apostille services have also been decentralised and are available at MEA Branch Secretariats and Regional Passport Offices (RPOs) in multiple cities. You can now get Apostille services in New Delhi, Mumbai, Pune, Ahmedabad, Bangalore, Hyderabad, Bhopal, Chennai, Kolkata, Chandigarh, Goa, Cochin, Guwahati, Lucknow, Raipur, Surat, Vadodara, Rajkot, Indore, Patna, and Thiruvananthapuram.
An Indian Apostille is a square-shaped sticker that is attached to the back of your document. It contains 11 standard fields with important details to prove the document’s authenticity. At the top, it mentions “APOSTILLE” along with “Convention de La Haye du 5 October 1961” (Hague Convention of 5 October 1961). This stamp ensures your document is valid and accepted in Hague Convention member countries.

Apostille documents are officially recognized across 85 HCCH member countries and several other jurisdictions worldwide.

Hague Apostille Convention (1961)
The Hague Convention Abolishing the Requirement of Legalization for Foreign Public Documents, signed on 5 October 1961 in Luxembourg and effective from 14 January 1965, simplifies the process of document authentication among member countries. Under this Convention, public documents issued in one member state are recognized in another without the need for diplomatic or consular legalization. Instead, such documents are authenticated with an apostille, issued by the competent authority (in India, the Ministry of External Affairs).
